Business improvement and technology implementation projects are inherently challenging. When forming project teams, we often rely on Subject Matter Experts (SMEs) from the core business. These employees, while deeply knowledgeable, are usually engaged in their day-to-day BAU responsibilities. We ask them to step into the project team to confirm requirements, conduct testing, and train end-users. Much of the project’s success hinges on these SMEs.

But why do SMEs willingly take on this additional responsibility, often navigating stress and uncertainty throughout the implementation? What drives them to commit their time and energy to something outside their routine?

As leaders and sponsors, the key question is this: How can we inspire meaningful engagement from SMEs and ensure their contributions lead to a successful project?

While there is no one-size-fits-all answer, there is a universal truth: when individuals operate from their strengths and experience a sense of fulfilment, they become more invested in their work. Fulfilment—born from seeing the tangible impact of their efforts, mastering new challenges, and contributing to something meaningful—is a powerful motivator.

When team members feel this sense of achievement, they’re naturally inclined to give more of their time and resources. They feel valued, purposeful, and connected to the project’s success.

As leaders, it’s critical to recognise and leverage the profound influence of fulfilment. By fostering an environment where individuals can thrive, align their strengths with project needs, and experience the satisfaction of making a difference, we unlock their full potential.
